Terms of Service

These terms cover the use of PilotCarCMS ("the app"), the dispatch, driver-log and invoicing system operated by Casco Bay Pilot Car ("we", "us"). By signing in to the app, or by opening an invoice link we send you, you agree to them.
1. Who the app is for
The app has two kinds of accounts.
- Staff accounts are issued by Casco Bay Pilot Car to its office staff and escort drivers. They are used to schedule jobs, record driver logs, and prepare invoices.
- Customer accounts are issued to the carriers and shippers we escort for. They are used to view and comment on invoices and to follow requests made to us.
An account is personal. Keep your password and any sign-in code to yourself, and tell us straight away if you think someone else has used it.
2. What you may and may not do
Use the app only for the work it exists for: arranging, recording and billing pilot-car escorts. Do not try to reach another customer's invoices or another organization's data, probe or overload the service, or upload anything unlawful or harmful.
3. Driver logs and records
Drivers are responsible for the accuracy of what they record: times, odometer readings, tolls, hotel costs, extra stops and wait time. Those records are the basis of the invoice the customer receives, and a log marked complete is a statement that it is correct to the best of the driver's knowledge.
4. Invoices and payment
Invoices are prepared from the job records and sent to the customer through the app. Our published prices and payment terms, including when an invoice is due and how late fees accrue, are shown on our pricing page and printed on each invoice. Questions about an invoice can be raised directly on the invoice in the customer portal; we read and answer them there.
5. Notifications
With your consent we send job and invoice notifications by email, by text message through your mobile carrier's email-to-text gateway, and by browser push notification. Standard carrier messaging rates may apply. You can change or remove your notification address on your profile page at any time.
6. Availability and changes
We aim to keep the app available at all times but cannot promise uninterrupted service, and we may change or withdraw features as the business needs. We will give notice of material changes to these terms in the app.
7. Liability
The app is a record-keeping and billing tool. To the fullest extent permitted by law, Casco Bay Pilot Car is not liable for indirect or consequential losses arising from use of the app or from its unavailability. Nothing in these terms limits liability that cannot be limited by law, and nothing here changes the terms of the escort services themselves, which are agreed separately with each customer.
